Different User Types in UpKeep
We will start this course by understanding the different user types and their corresponding permissions. This provides context into what you can and cannot do as a technician or other user in UpKeep. If you have questions around your role and why you were assigned a certain type of role, please speak with your administrator.
Each user type has distinct roles and capabilities within the platform that are tailored to their specific responsibilities. A snapshot of the roles are below:
- Administrators have full control, with the ability to add, change, or remove anything in the system. As a technician, your administrators are the best resource to answer any questions about your user permissions.
- Limited Administrators have similar permissions with a few restrictions. They can edit or delete records they've created but cannot access system settings or manage team pay rates or users. They have view-only access to People and Teams.
- Internal Requesters only have visibility into the Requests page in UpKeep. They can submit requests and check the status of their requests, but they cannot see any other internal details like work orders or requests submitted by others.
- View Only Users can see almost everything an admin can, except work requests and purchase orders. They can't change anything, but they can still submit work or purchase order requests if something needs fixing or they want to know a job's status.
- Technicians can create assets, locations, and work orders, and they can see all work orders, even those assigned to others. However, they can only edit or delete items they've created.
- Limited Technicians have similar permissions but with more restrictions. They can only view locations, assets, work orders, and meters assigned to them, along with all parts, inventory, vendors, customers, categories, and files. Limited technicians can create data but can only edit or delete records they have created. To ensure they can do their job, it's crucial to assign all relevant data to them. **If you're a Limited Technician struggling to see key data, check with your administrator to ensure you've been assigned to it.
