Creating Work Orders

When you’re in the field conducting your daily routine and spot a broken item, UpKeep Mobile enables you to create work orders on the spot, allowing you to process and complete the necessary maintenance immediately.

Creating work orders in UpKeep Mobile is essential for streamlining the maintenance process and maximizing efficiency. Documenting each work order provides easy access and real-time updates to records, enhances communication with your team, improves accountability, and ultimately elevates the effectiveness of your maintenance programs.

Let's dive into creating a work order. We'll cover UpKeep's best practices, but be sure to check with your administrators to align with your company’s standards.

Follow these steps to document any issues you spot in the field:

  1. Tap the plus sign in the navigation bar and select ‘Work Order.’ This will take you to the page where you’ll input all the essential details.
  2. Enter a clear title and detailed description of the issue you’ve spotted.
  3. Set the priority level and add photos if needed. Snap a picture or upload one, then highlight the problem using the marker tool.
  4. Add additional workers or teams as needed. When creating a work order as a technician, you will always be assigned as the main worker with the option to add additional workers. If you need work to be delegated to other members of your team, you should submit the work as a request.
  5. Choose the location first to narrow down the asset list, or pick an asset to auto-fill the location. It is best practice to always assign a location AND asset.
  6. Complete the required fields, add tasks or checklists, and attach any relevant files.
  7. Hit submit, and your work order will appear on the home page, ready for the next steps.

Now, let’s move on to reviewing and processing it!
