Request and Work Order Creation Workflows and How it Relates to Technicians

This section introduces you to two primary workflows in UpKeep: Request Workflows and Work Order Creation.

Request Workflows provide a structured approach to maintenance management. They start with user-initiated requests that go through a review and approval process, ensuring efficient resource allocation. Anyone within or outside your maintenance team will be able to submit a request for work either through UpKeep's internal request form or external request portal (if you have UpKeep Professional or Business Plus). Your administrators will then be able to filter through these requests, decide if they want to move forward with the work, and then assign the work order appropriately.

On the other hand, Reactive Work Order Creation allows for immediate action in response to unexpected issues, focusing on quick resolutions to minimize downtime.

And Preventative Maintenance Work Orders are used for scheduled maintenance tasks.

By understanding these methods, you’ll be better prepared to manage both planned and emergency maintenance tasks effectively and understand how these processes function within UpKeep.

Request Process Map

Requests come from both inside and outside your maintenance team to notify you of needed work. As an administrator, you can approve or deny these requests. Once approved, a request automatically becomes a work order for your technicians.

Reactive and Preventative Work Order Creation Process Map

The process for creating reactive and preventative maintenance work orders is similar to the request process but skips the admin approval step. Technicians or administrators can generate work orders on the spot to address issues immediately or schedule them in advance for routine maintenance tasks.
